Welcome to February 27th 2025! In this Newsletter:
  • What’s due at the end of February?
  • My Three Favorite Resources for February!

​What’s Due End of February?The due dates below are the generic due dates for February, BUT! Because of the recent updates to how Tslips are filed, and the issues businesses are having working out the kinks, CRA is granting relief in respect of late filing penalties for information returns filed on or before March 7th 2025 for those information returns normally due on February 28th 2025! Find out more from CRA here!
  • T4s are due to be filed for your employees on or before February 28th. If you used a payroll provider, make sure they will be filing your Employee’s T4s for you. If you use payroll software, there may be some extra steps for you to do. In Quickbooks, it’s a simple .xml file to upload! (Here's my Video on how to do that!) Then you can print the Employee’s copy right from Quickbooks! If you did your payroll for your employees manually, and are curious how to file them online using CRA’s webforms, here’s a handy dandy video I made a few years ago on how to do that. When you use CRA’s webforms to manually file, you can print a copy from there to hand out to your employees.

  • T4As are also due on or before Feb 28th. T4As are the income slips that you issue to independent workers who are not an employee, such as contractors who received a commission.

  • T5s are also due on or before Feb 28th. T5s report various types of investment income. They also can declare dividend income (and shareholder draws) for shareholders of a corporation, and are done by your accountant. Your accountant will need to see your financials to see what needs to be issued, so now is the time to finalize your 2024 bookkeeping and share with your accountant so they can prepare and file your T5s on time.

  • f you are a charity, then Feb 28th is also when your donation receipts are due to be issued. A reminder for the 2024/2025 donation years; CRA has announced the charitable donation deadline for the 2024 year has been extended to Feb 28th 2025.​

  • March 3rd 2025 is the Deadline for Contributing to an RRSP for the 2024 Tax Year. (Not February due date, but very soon after February ends!)

  • If you business is incorporated, and owed greater than $3k in corporate Income Tax for the previous fiscal year, then it is required to pay installments for next year on the last day of every month. February 28th is the due date for the February Corporate Tax Installment.

  • If your Corporation is federally incorporated, you must file with Corporations Canada every year. Though they call it an "annual return" this is not the Corporate Tax Return (T2) that you must file with CRA every year. The filing deadline is 60 days following a corporation's anniversary date. Find out more here.

  • Though there are no other standard items due at the end of this month, be aware that if your Sales Tax filing is monthly, January's GST/HST filing and remittance is due on February 28th. If your Sales Tax quarterly filing is on a different schedule because of a corporate fiscal year end date that is not standard, the GST/HST for a quarter November to January would be due Feb 28th. Also, if your Corporate Fiscal Year End is August, your Corporate Tax Return is due 6 months after your Fiscal Year end (February). If your Corporate Year End is December, the Income Tax Payable is payable 2 or 3 months after the Fiscal Year End; either due February or March, depending on your corporation. Check in with your accountant to find out more about your corporate tax due dates specific to your corporation.​

My Three Favorite Resources for February!This month's theme is unsurprisingly... personal income tax!
  1. How I do my T2125: Ah Spring… the season we start to get ready to file our personal income taxes! There are a lot of options out there to get your income taxes filed, either DIY or by a professional income tax provider. If your situation is complex, a professional income tax provider can be a great resource! But if you file your own taxes, and haven’t heard yet about Wealthsimple Tax, now’s a great time to check it out! As a Bookkeeper, I don't offer tax services, but I do prepare my own tax return, and a few years ago I thought I'd share how I do my T2125 (Statement of Business Activities/Self Employment income) on YouTube, with a follow up of how I put that into Wealthsimple Tax.

  2. Captial Gains Explained! - Not just for business owners! This article by Moneysense explains how capital gains are taxed and how to avoid payment more taxes where selling your assets!

  3. Taxes on Investments: Kata Accounting Solutions put out a fabulous blog post discussing how taxes on investments work, some of the tools at your disposal, and how your investment income will be treated. Again, this is more related to personal income tax, but as an entrepreneur, you likely are either interested in or are an active investor, so I thought this resource would be of interest to you!

What due dates are coming up in March?Now’s the time to prep your March Calendar! #BeThatBusiness that is organized! Here are some March due dates that might affect your business:​
  • March 3rd 2025 is the Deadline for Contributing to an RRSP for the 2024 Tax Year.

  • March 7th 2025 is the extended grace period that CRA is granting relief in respect of late filing penalties for information returns (T slips) filed on or before March 7th 2025 for those information returns normally due on February 28th 2025. Find out more from CRA here.

  • If you have employees, March 15th is the due date for your payroll source deductions relating to February's payroll if you are a regular remitter. (March 15th is a Saturday in 2025, so they would be due Monday March 17th this year).
    ​
  • If you have employees, then you likely are registered for provincial Workplace Insurance (WSIB/WCB). WCB in some provinces is due monthly, and on the 15th. (In Ontario, WSIB is due quarterly, and not due until April 30th)
    ​
  • March 15th the first quarterly personal tax installment is due. If you are a self employed individual, no one is deducting income taxes from you. Because of this, if you had over $3,000 in personal income taxes payable on filing in the previous year, CRA would like you to pay instalments on your personal income taxes for the next year. (March 15th is a Saturday in 2025, so they would be due Monday March 17th this year).

  • ​NR4's are issued by Canadian Payers who make payments to non-residents of Canada for income such as interest, dividends, rents, royalties, pensions, and acting services. The NR4 information return is due on or before March 31st following the calendar year to which the information return applies, or in the case of an estate or trust, no later than 90 days after the end of the estate’s or trust’s tax year.

  • If required, partnerships (except those made up of corporations, or a combination of individuals, corporations, and trusts with different filing dates) must file a T5013 Partnership Information Return before March 31st.
    ​
  • ​T3 Trusts Returns also are due on March 31st. Last year, CRA updated their Reporting Requirements for trusts, and there were trusts that needed to file for the first time. More information can be found on CRA here.

This month I have been reading The Uninhabitable Earth by David Wallace-Wells. It is sobering. And it has inspired this month's hacks: How you can make your business more earth friendly!

3 (Green) Business Hacks:
  1. Reduce Waste and Optimize Energy Use: Take a look at your workplace, services, and products and ask yourself if you have cut out as much physical waste as possible. Could you use recyclable or compostable components? How much is essential? Once you tackle your physical waste, look at your workplace and processes. Are there small things you can do such as more efficient light bulbs, energy saving power strips, etc? ​

  2. Consider The Life of your Business Gifts and Swag: At first novelty gifts are fun, but then they're clutter and waste. I think the world has enough stress balls. Instead, consider giving your clients & employees a gift that's meaningful for them and the planet. Some ideas are Seeded Memories, or perhaps something from The Abor Day Foundation.

  3. Ask Your Employees and Clients for their Green Ideas: A fresh set of eyes and perspectives are always valuable! Clients may point out ideas about packaging, and employees may see ways to reduce waste in processes or the workspace that you hadn't considered. As Ken Blanchard says, "None of us are as smart as all of us!"

  1. TD Bank Small Business Tools & Resources: TD Bank has a "Tools & Resources" page for Canadian Small Businesses including a cash flow calculator, business plan template, profit increase calculator, and more!​

  2. RBC on "Salary Vs Dividends": One of the most common questions that is asked by new incorporated business owners, (and one of the most IMPORTANT to ask!) is what is better, Salary or Dividends? The answer, as always, is that it depends on the situation. RBC Wealth Management put out an indepth review in 2017 that illustrates different scenarios of Salary Vs Dividends. If you're looking for something a bit more recent, and a bit less indepth, Money Sense Magazine put out a Fabulous article "Should you pay yourself a Salary?" Then connect with an accountant to create your specific "Shareholder Compensation Plan", because failing to plan can cost a LOT of money in taxes! #NeverGiveCRAmoreMoneyThanYouHaveTo

  3. BDC's "Optimize Your Business Processes" Guide: BDC has so many fabulous & free resources, and this month I want to highlight their guide for Optimizing Your Business Processes. This Newsletter we will take some time for philosophical reflection. Our reflection is to "Know Yourself" and how knowing yourself better can increase not only productivity, but can decrease stress and increase happiness!

3 Business Hacks:
  1. What Type of Business Are You Running?: Different types businesses require different types of education for the business owner. What your 'need to know' list will vary depending on what business you are running. Are you a professional providing services that are activities-based, such as design, marketing, consulting or home cleaning services? With no large materials costs to consider, the way you view an analyze your business will be different from an individual who installs landscaping or has employees. An activities-based professional with no employees may not need the more complicated bookkeeping application, but can lean on their credit card and bank feed transactions, utilizing a cheaper bookkeeping app. The way you analyze your business's income model will be different too. If your business is not activities-based, but includes purchasing materials for production of goods and installation, or purchasing inventory, or if the purchases are not predictable, you will need to consider a more detailed bookkeeping software, and have a deeper understanding of how that bookkeeping works. You will need to analyze your business's ratios and consider the overhead as well as the direct costs. Size is important too. As your business grows more complex, outsourcing the bookkeeping may not be an option, and there is a transitional time when maybe outsourcing a Financial Controller is important to consider (and eventually hiring one full time if the growth continues to that level). This means that the type of business you are running will change over time, and you need to be mindful of that. What worked in the beginning will likely not work as your business changes. An activities-based business may hire employees, a smaller businesses grows. An unincorporated business may incorporate. One thing remains constant though for all businesses, from side hustles to those with multi-millions in revenues; ALL need to understand how the business is taxed, how the owners or shareholders are taxed, what the deadlines are, and how to set up processes and routines to keep these front of mind instead of an afterthought.​

  2. What Type of Tendencies Do You Have?: Often we hear about different methods of productivity and routines that are "THE ONE WAY TO..." get things accomplished. But if that one way does not fit your tendencies, it's not going to work for you. Knowing how you instinctively and subconsciously respond to your environment and situations is key in setting yourself up for success. Combining understanding yourself with creating a happier life, author Gretchen Rubin has created an insightful tendencies framework that looks at four main personality tendencies. She then discusses how understanding which tendencies you align with, (and those people you work and live with) can greatly improve happiness, and also can be used to set yourself up for success for the many different goals you may have. For example; some people benefit from lists, others don't. Don't force yourself to be a list maker if it's not going to be of help to you, and don't be critical of yourself is lists are not your thing, (or critical of others if lists are not their thing!). The four tendencies Gretchen Ruben has recognized are: Upholder, Questioner, Obliger, & Rebel. Find out more and take the quiz here! (No affiliation, but I've found this useful for my own business!)

  3. What Type of Bookkeeping Application do you have?: There are two approaches to bookkeeping that bookkeeping applications have: They are either "Entry-Based" or "Transaction-Based". Entry-Based bookkeeping applications rely on the bookkeeper entering the transaction entries, either manually or with a syncing document management app. This is very useful for more complex businesses that carry a balance with suppliers, and purchase many different categories of expenses from various vendors. Transaction-Based bookkeeping applications rely on the bank and credit card information to record bookkeeping entries (the bookkeeper still being the one to categorize the transactions). This is very useful for businesses that do not carry any balances with vendors, or do not have complex purchases. The danger of these applications though, is that they market to all business types without the information that, in order for these to provide accurate financials, the real life processes need to be set up in specific way. If a content marketer has just basic transactions in a predictable manner, (Re-occurring subscriptions, office supplies purchases from the same vendor, etc), then there isn't much need to change processes. But if a business has more complex transactions in the bank that are not predictable, and are actually related to costs in previous months... they need to either change the processes to enable the "Transaction" based approach (pay a bill the same day it is issued for example), OR change their bookkeeping application!​

My Three Favorite Resources for this newsletter!  This month I have a timely free resource related to income taxes, plus a couple of other free Canadian Small Business resources you may not have heard of yet.
  1. Wealthsimple Tax - 'Tis the Season! There are a lot of options out there to get your income taxes filed, either DIY or by a professional income tax provider. If your situation is complex, a professional income tax provider can be a great resource! But if you file your own taxes, and haven’t heard yet about Wealthsimple Tax, now’s a great time to check them out! They currently offer the “pay what you want” pricing. I’ve been using them for the past few years for my family’s taxes! And there is no additional cost for me to use it to file my income tax as a self-employed individual, (as some of the other free tax filing softwares sometimes charge for).

  2. Small Business Hub from Statistics Canada - StatCan? Small Business Hub? Yes! Check out the Small Business Hub from Statistics Canada; a resource to help existing and aspiring small business owners and entrepreneurs plan and run their enterprises. "Statistics Canada is committed to using its resources to help the small business community better understand the country's population and society, as well as the context in which businesses operate."

Be That Business Newsletter #27: A 3 Helpful Shifts in Perspective for Entrepreneurs

This month I have three Perspective Hacks for you to help your business thrive!
  1. You don't keep your business books for CRA: Even though CRA requires you to keep good business records, that's not the most important entity you're keeping records for. The most important entity you're keeping the records for is YOU! You cannot manage what you do not measure. You want to have the most up-to-date and accurate data about your business so your business thrives. With up-to-date data, you are able to make informed decisions. With up-to date information you are prepared for payable liabilities and manage your cash flow. And you are ready to apply for the next business grant that may come along. So is CRA the second most important? No! The second most important entity you are keeping your records for are interested parties, such as banks. You want to be ready to apply for that loan when it's needed! CRA has some pretty hefty consequences for not keeping the books, so they are still important. But if you only keep the books for CRA, you're not focused on the right goal. Sure, compliance is important, but it's the lowest bar.​

  2. Processes > Software: If you have bookkeeping software set up, that's a good thing, but, it's just a start. What you do in IRL effects the efficiency and the accuracy of the records. What is your process for storing & communicating the source documents? Is it easy to maintain? Missing information adds hours to bookkeeping, whether you are doing the bookkeeping, or if you have a bookkeeper. The less the info, the more the guesswork, and that's a recipe for bad data. Set up processes IRL that support the flow of information in the most hands-off manor so that it's easy to maintain. How that looks will vary from business to business; Maybe you'll have all bills sent to you from certain vendor email addresses to auto forward to a capture app, such as Dext, Dropbox, or even an email that an admin has access to. Maybe you'll take photos of your receipts with a receipt App as soon as they are handed to you (Dext is one, but there are others, even QBO has one). Or instead of going to Staples, you can order from Staples online, and the receipt that is emailed to you... and get's auto forwarded! As Stephen Covey wrote "Begin with the end in mind". Someone is going to need those details and documents, even if it's future you... what is the easiest and most efficient way to store & communicate them in real time? You can't rely on just software, you need to set up the processes.

  3. Without you it's just Data: Compliance is Cool! It saves money too! It also helps to reduce the chance of a CRA audit! But, as I mentioned above, it's the bare minimum. Without you it's just data. With you, it is the story of your business. You need to be interested in what that story is. The founder of Oracle NetSuite, Evan Goldberg says; "If you don't know your numbers, you don't know your business". Every month you want to see the numbers from the month before. What was the profit? Some Percentage of that profit will likely be payable in income tax (confirm your situation with your tax preparer). Compare the profit to how much you took out of the company that month. Is it on track with your goals? What is the sales tax balance? Be prepared to pay that at the end of the period. Is your cost of goods sold what you expected them to be? Is your overhead what you expect? Do you need to bring costs down, or raise prices, or are you on track? These are the basic questions to start off with. At first it may feel unfamiliar; you can ask your bookkeeper or accountant to review the financials with you. (Here's a link to download a quick guide from BDC about these reports.) The more comfortable you get, the deeper you can go. (Check out these financial ratios put out by BDC.) You've got this! You're not a regular person... you're an ENTREPRENUER!

Friendly reminder: For those who are self-employed (or are the spouse of someone self-employed), though your Personal Income Tax Return is not due until June 15th, your due date to pay any income tax owing is April 30th! Happy Parallelogram Season!

StartUpCanada's Business Owner's Toolbox: Startup Canada is an independent non-profit organization that works with private sector and government partners to build an environment for entrepreneurial success. Recently they have launched "The Business Owner's Toolbox" (BOT). "BOT comprises nine easy-to-understand modules that will walk entrepreneurs through the journey of having a full-proof business plan." It covers Business Structure, Insurance, Marketing, Finances, Pitching, and more! And it's free!

  2. CRA's on Social!: Did you hear about the free webinar for incorporated contractors offered by the CRA? Did you know about the CPP Enhancement? Did you see the almost inappropriate but mildly hilarious post about filing your taxes for the first time? The Canada Revenue Agency is on Twitter, IG, FB, YT & LI. They're trying out humour, and I'm on board. A great account to follow to hear about upcoming free webinars and services, and also for a chuckle now and then.

  3. Free H&S Resources from IH&SA Ontario: The Ontario Health & Safety Association have a "Infrastructure Health And Safety Association" that offers Free Resources to Ontario Businesses. Check out their Small Business Page for Free Safety Talks, Best Practices for SMBs and Independent Operators, and the Legislative H&S Requirements for each type of Business in Ontario. If you're not in Ontario, check out your Province's H&S board to find the free resources available for your Province or Territory!

Be That Business Newsletter #25: 5 Digitization Hacks for your business!

The benefits of going digital are numerous! No paper to store! Efficient Collaboration with your bookkeeper! Cloud backup of supporting documents. Automation benefits. And, have you ever tried saying "Ctrl+F" to your file box, or while looking at a bank statement? Doesn't work in IRL.
My Favorite Business Hacks for this newsletter are all about digitizing your paperwork so that you can share it, use it, search it, and automate it! Work Smarter, Not Harder!

5 Business Hacks on Digitization:
  1. Use a "Fetching" app to pull from your larger vendors: Apps like Dext can log on to a long list of vendors and 'fetch' the bills for you, done and done! It even connects to Amazon Business! And you can also forward bills sent via emails that get sent to you (think autoforward for certain from addresses!), and you can also upload photos with the app from your phone! Many apps like Dext also can be synced with your bookkeeping software! And even they can automate some of the bill entries for you! When you use apps like these, the digital paperwork is then attached to the bookkeeping entry!

  2. Create an "Accounting" email: Create an email like "[email protected]" or "[email protected]" and set that up to be the email vendors send their bills to. I don't usually suggest this as long term storage, but, it can be used to forward the bills to your app of choice, and avoids your 'action email' account being filled with a deluge of emails. Added bonus; if you have an office manager or an outsourced bookkeeper, they can have access to this email account! And it can also be used to create online logins to vendor accounts so that your record keeper has access and can jump through the TFA emails without needing to coordinate with you and your email. Delegate! Use your team and free up your time! (Beware the risk with this one... there are scammers who know accounting@businessname type accounts exist, and send in fraudulent "Invoices".  Make sure your business has proper procedures in place to not be duped like this!)

  3. Ask the Retailer if they can email the receipt to you: Did you know that retailers are beginning to offer digital receipts? Many self checkouts now ask "Did you want the receipt emailed?" (such as Shoppers, Home Depot, Staples, and more!). Say YES! Start asking the person at the checkout register if having the receipt emailed is an option when you check out from a store. (Be aware: some receipts don't say what was purchased or the tax, depending on how the seller set up their machine, and so these receipts are not actually receipts that can be used as support).

  4. Don't rely on email or suppliers to keep the paperwork: If you are audited by CRA, it will not be within 12 months of the receipt date. Let's say you buy something in July. You don't file your taxes until April the next year. Then CRA has to assess it. If pulled for an audit, it can take 3 to 12 months for an auditor to be assigned. You will be looking for paperwork that is 2 to 5 years old! I have supported many CRA audits, and let me tell you, A) Many Utility Accounts only show you the past 12 months of Bills (go see if you can get one from 3 years ago right now...) B) Most banks and credit cards also do not have access to over a year or two ago. And if you request old statements they will charge you, and half the time the reprints are not digitized and are difficult to use. C) Vendors go out of business, or change their accounting software, and asking for reprints that old usually only has a 50% success rate. D) Clients have had issues trying to find source documents from so far back in the emails for many various reasons. SO, all that being said, you need to keep your own digital copies somewhere and somehow.

  5. Set up the IRL processes to get the flow going: It can take a bit of front end work, but this is Time Well Invested! Start by taking an inventory of your most often used suppliers, and list out if they are accessible by app automation (are they on the list of fetchables with your app of choice?), if they are hand written, if they can be emailed by the vendor automatically, do you have a 'record keeper login' (#2 hack above), are the payments automated (as per my July 2021 Newsletter hacks). Update this list as you successfully get the IRL process going. Make your processes as easy and touch-free as possible, but change the process if it's not working for you. Maybe you prefer to keep a digital folder for each month of the year, and just save to the digital folder. (You can have these folders backed up to Dropbox, Google Drive, or OneDrive, etc.). You can still then just dump the entire contents into your app that syncs with the bookkeeping at the end of each month using the upload from computer option! Whatever you choose, make it fit with you and what you know you'll keep going.​

  1. Learn About Your Taxes: I love Canada! Did you know Canada has a free online course to learn and teach all about Canadian Personal Income Taxes? Learn about the tax system, how to do your taxes, common tax terms, and more! It's also useful for teachers and parents to use with their students! Financial literacy and understanding how taxes work is important, even if you do not file your own income tax returns, it's still important to understand how it works, especially as an entrepreneur!

  2. Free HR Resources from your Insurance Company: Here is a small business resource that you may have been unaware of: Your insurance agent! All insurance companies have a risk management department. It's essentially what determines your rates, how high of a risk you are. And many insurance companies have resources available to help you. Some are better than others, but they can help you with things like: HR: Employee handbooks, company policies, forms, documents, guides (what you can and can't do/say with employees), Safety: OSHA regulations, signage, etc. Benefits: Handouts, newsletters, quit smoking and weight loss programs.
